Call for applications: Finance and Administration Officer Thailand

Protection International (PI) is seeking to recruit a Finance and administration Officer in Thailand


PI is an international non-profit organization researching strategies and security management tools that protect human rights defenders and sharing its expertise in this area with people at risk for their human rights work all around the world. PI sees human rights defenders as agents of change who form a pillar of free and just societies. In many parts of the world, Human Rights Defenders face threats from state and non-state actors for their human rights work. PI works with human rights defenders to develop strategies tailored to their profile and context.


The role


The finance and administration Officer works with the team ans partners (human rights organisations, communities and individual human rights defenders) in improving their security management and strategies. PI has been working with partners focussing on issues related with community-based defenders in contexts of exploitation of natural resources. This position is part of a team of four and reports to the PI Representative in Thailand. The position based in Bangkok, (s)he travels regularly in the country.


Main responsibilities
Administrative task:


  • In charge of in and outgoing post.

  • Keep track of all date and term of possible contracts (rent, internet, insurance, etc.).

  • Organizes the filling of all PI document and archives.

  • Trains staff in relevant financial reporting, administrative and logistic.

  • Provide support of registration process of PD-Thailand.

Human Resources Management:


  • Help prepare work contract according to instruction of PI Representative.

  • Manage the presence and absence of employees (sick leave, annual leave etc.).

  • Check and approve all documents prepared by administrative officer in Brussels for the salary of staff.

  • Make payments of all required taxed when applicable.

  • Assist in adjusting and finalizing human resources and finance policy

  • Organize the team weekly work plan and meeting

Finance Task:


  • Responsible for the follow up of cash management.

  • Co-signs with PI representative the authorization of expenditure after verification of budget plan.

  • Complies monthly financial and management accounting reports

  • Maintains cash books, cheque register for all bank account and produces monthly reconciliation statement for each account

  • Ensure effective accountability of all finance disbursement/remittance

  • Monitor and advises of financial status of various projects and programmes

  • Advise on any accounting procedures, policies, directives and laws that accrue to NGO

Logistical tasks:


  • Take care of office maintenance and purchase of needed stationeries and assets

  • Advise on any accounting procedures, policies, directives and laws that accrue to NGOs

  • Manage contractual negotiations and agreements with suppliers and service providers

  • Coordinates with office staff on logistics for trainings and workshops

Skills & Experience


  • University degree in finance, accounting or other related field.

  • 2 years of work experience as a minimum.

  • Experience in human rights work in Thailand.

  • Excellent spoken and written Thai and English and able to communicate in international environment.

  • Ability to work independently, high adaptability, ability to work under stress in a sensitive environment.

  • Proficient in Microsoft Windows applications, Excel format and Accounting software

  • Available for travel and flexible working hours.

The offer


A one-year contract with a four months’ probation period.
